Managing Team Member Permissions

Why permissions?

Not everyone who works with you needs everything. An accountant needs payments and reports, not the ability to delete a property. A maintenance clerk needs maintenance requests, not your financial figures.

Permissions let you decide that for each member individually.

Where to find the permissions dialog

Go to your profile → "Available Services" → "Property Management Team" → the team members list.

Next to each member there is a settings icon (⚙) and a delete icon. Click the settings icon to open "Member Permissions".

The icon appears next to members only. You will not find it next to your own row, because the account owner always holds every permission and it cannot be reduced.

Sections and permissions

The dialog lists the sections, each with its checkboxes:

Only permissions that actually work are shown. If you do not see "Create" or "Delete" next to a section, it is because they are not enforced for it yet — and showing them would have told you that you had restricted something when you had not.

How View relates to the rest

The rule is simple: you cannot change what you cannot see.

• Turning on Create, Edit or Export turns on View for the same section automatically.
• Turning off View turns off the rest of that section's permissions with it, and greys their boxes out.

This is applied when saving too, not only on screen.

What the member actually sees

• Without View for a section: the section's link does not appear in their sidebar, and opening the link directly shows a message that they do not have permission.
• With View: the section appears and works, showing the account owner's data — not their own. That is the whole point of a team: you work on the same portfolio.
• Reports: View lets them read the reports; the export buttons appear only with the Export permission.
• Settings: View opens the page with every field read-only and no save button; Edit lets them save.

Settings: what stays yours alone

Even if you grant a member Edit settings, the establishment's legal data stays with the account owner — they neither see it nor can change it:

• فال licence, commercial register, VAT number
• Owner name
• Signature and stamp
• E-invoicing details
• The owner's own contact numbers and email

What a member can edit is the operational settings: business name, national address, and logo.

Steps to change permissions

   Click the settings icon next to the member's name.

   Tick or untick the boxes you want.

   Click "Save Permissions".

The change takes effect for that member on their very next request — no sign-out and sign-in needed.

Important notes

• Permissions are per member. Changing one does not affect another.
• The account owner always holds everything, and their permissions cannot be edited.
• Team management itself is not a grantable permission. No member can invite people, change permissions, or change the user limit, whatever you grant them.
• Hiding a section from a member is not cosmetic; the restriction is applied to the data itself.

Common problems

"The member cannot see a section" — check the View permission for that section. Most cases are simply that it is off.

"They can see the section but cannot save" — they have View without Edit.

"I cannot find the settings icon next to my own name" — that is expected; you are the account owner.
