Adding a Member to Your Property Management Team
What is a Property Management team for?
Property Management was originally built around a single account. The team feature lets you invite other people — an employee, an accountant, a property manager — to work on the same properties, contracts and tenants, without ever giving them your password.
Each member signs in with their own account, sees only what you allow, and you remain the owner of the data.
When do you need this?
- You have an employee handling maintenance requests for you.
- You have an accountant who needs to see payments and reports but must not change properties.
- You run an agency and more than one person works on the same portfolio.
If you manage your properties alone, you do not need this feature at all.
Where to find team management
Go to your profile → "Available Services" → the "Property Management Team" card.
The section is collapsed by default; click it to open. Inside you will find three figures and two lists:
- User limit — the maximum number of people allowed on your team.
- Seats used
- Seats remaining
Then a list of team members and a list of pending invitations.
How seats are counted
This is the part people most often misread, so read it carefully:
- You count towards the limit. If your limit is 5 users, you are one of them and 4 remain for others.
- A pending invitation reserves a seat. The seat is taken the moment you send the invitation, before the person accepts. This prevents inviting ten people against three seats and then refusing the ninth at the moment they accept.
- The seat returns when you cancel the invitation or remove the member.
If all seats are taken you will be told you have reached the maximum, and the invite button stops working until you free a seat.
Steps to invite a member
- 1Open "Property Management Team" from your profile.
- 2Click "Invite Member".
- 3Enter the mobile number in local form: `05XXXXXXXX` — ten digits starting with 05.
- 4Click "Send Invitation".
About the number format: the field accepts the local form only. Do not type `+966`, `966`, or a number starting directly with 5. The field accepts digits only, so any letter or symbol simply will not be typed.
What happens after you send it
- If the number is registered with Raghdan: they receive an in-app notification and a WhatsApp message.
- If the number is not registered: they receive an SMS inviting them to register and then accept.
The invitation then appears under "Pending Invitations" as: *Invitation sent to (05XXXXXXXX)*, with the sent date and the expiry date.
Resending — the 24-hour wait
Next to every pending invitation there is a "Resend" button, but it only works after a full 24 hours have passed since the last successful send — including the first one.
During the wait the button is greyed out and disabled, and hovering it shows the time left, e.g. *The invitation can be resent in 23 hours and 42 minutes*. The countdown moves on its own, and the button re-enables itself with no page refresh.
The wait exists to protect the recipient from repeated messages. There is no way around it.
Cancelling an invitation
Next to every pending invitation there is a "Cancel Invitation" button. Clicking it does not cancel immediately — a confirmation dialog appears showing the number, because the button sits next to Resend and a mis-tap destroys the invitation.
After you confirm: the invitation is cancelled, the seat returns, and the recipient can no longer accept it.
Important notes
- Invitations expire. After that they cannot be accepted, and you can send a new one.
- The same number cannot be invited twice while an invitation to it is still pending.
- You cannot invite your own number.
- Team management is available to the account owner only; a member cannot invite other members.
Common problems
"You have reached the maximum number of users" — every seat is taken. Cancel a pending invitation you no longer need, remove a member, or contact support to raise the limit.
They did not receive the invitation — check the number first. If it is correct, wait for the 24-hour period to end and resend.
The Resend button is grey — that is normal; the waiting period has not ended. Hover over it to see the time remaining.
