Reports and Exporting in Property Management
Where to find Reports
From the Property Management dashboard → the "Reports" section in the sidebar.
What does the section show?
Reports bring together your portfolio's data — properties, units, contracts, instalments and maintenance requests — and present it as summaries, charts and tables so you can analyse how your properties are performing.
Data is fetched when the page opens. There are no live subscriptions in this section, so figures refresh on navigation or reload.
Exporting
Export buttons sit at the top of the page, and there are four formats:
| Format | Best for |
|---|---|
| CSV | Opening in any spreadsheet program |
| XLSX | An Excel file |
| JSON | Moving the data into another system |
| A file ready to print or share |
The export follows the tab you currently have open and the filters you applied. The file contains what is in front of you, not everything every time.
An important note about exports
The file is built from the same data source the on-screen table was built from, not from the rows visible on the current page. That means a file can never disagree with the table it came from.
Who can access Reports?
- The account owner: always sees and exports reports.
- A team member: needs the "Reports — View" permission to see the section at all; without it, the Reports link does not appear in their sidebar.
- Export buttons appear for a member only with the separate "Reports — Export" permission.
So you can let a member read the reports without letting them take a copy away.
Common problems
"I cannot find the Reports section" — if you are a team member, you most likely do not have the View permission. Ask the account owner to enable it.
"I can see reports but there are no export buttons" — you have View without Export.
"The figures are not updating" — reopen the page; the section reads its data when it opens.
"The file does not contain what I expected" — check which tab is open and which filters are applied before exporting.
