What Is the Property Management System?
The Property Management system (Amlak) is a comprehensive system within Raghdan platform that allows real estate marketers and property owners to manage their properties professionally from one place. The system covers all aspects of property management from adding properties and units, to tracking tenants and contracts, to accounting and financial reports.
Three Main Sections to Activate
When you go to the "Available Services" section in your profile, you'll find three main sections you can activate:
Section One: Activate Property Management
This is the core section that allows you to start managing your properties. During activation you:
- Choose account type: Individual/Owner, Real Estate Office, or Real Estate Company
- Enter business name in Arabic and English
- Enter commercial registration and Fal license (optional)
After activation, the full Property Management dashboard opens with:
Property Management:
- Add new properties with location pinpointing on the map
- Specify property type (residential building, villa, commercial complex, etc.)
- Automatic unit generation — enter the number of floors and units per floor and the system builds the entire structure automatically
- View properties in Grid or List view
Units Management:
- Track each unit (apartment, shop, office) within the property
- Unit status: Rented, Vacant, Under Maintenance
- Link each unit to tenant and contract
- Color coding by status for easy tracking
Tenant Management:
- Add tenant details (name, national ID, phone number)
- Send WhatsApp invitation to tenant to register in the tenant portal
- Track payment status and overdue amounts per tenant
- Send automatic payment reminders via WhatsApp
- Detailed account statement for each tenant
Contract Management:
- Create rental contracts linked to unit and tenant
- Set contract duration, rent amount, and payment cycle
- Track expiry and renewal dates
- Auto-generate installments based on payment cycle
Financial Tracking (Accounting):
- Comprehensive accounting dashboard with financial overview
- Invoices: Electronic invoices compliant with ZATCA including QR Code
- Receipts: Payment receipt records
- Expenses: Record and track expenses per property
- Multiple bank accounts: Link multiple bank accounts and track each one
- Tenant deposits: Manage deposit amounts (deposit and refund)
- VAT: Automatic 15% calculation
- 5 financial reports: Tenant account statement, Income statement, Cash flow, Trial balance, Balance sheet
- Professional Excel export: 7 export types with professional bilingual design
- PDF invoices: Invoices with business logo, stamp, tax number + ZATCA-compliant QR code
Section Two: Activate Maintenance Service
After activating property management, you can activate the maintenance system:
- Choose business type: Independent technician, establishment, or company
- Enter business name and commercial registration
- Select city from the list
- Choose specializations: Plumbing, electrical, HVAC, carpentry, painting, etc.
- Upload business logo (optional)
Maintenance system features:
- Receive maintenance requests from tenants
- Assign the appropriate technician by specialization
- Track request status (New → In Progress → Completed)
- Document work with photos and invoices
- Automatically link maintenance costs to accounting
- Instant notifications for new requests
- External maintenance service providers can register and offer their services
Section Three: Activate Tenant Portal
The tenant portal allows each tenant to manage their affairs from their own account:
How tenant account is activated:
- Tenant does not activate their own account — activation only happens through owner/marketer invitation
- Owner adds tenant details (name, national ID, phone) then sends a WhatsApp invitation
- Tenant registers on Raghdan via the sent link
- A linking invitation appears in their account — they press "Accept" and their portal activates
What the tenant sees in their portal:
- Contract details (rental period, amount, payment cycle)
- Payment schedule and due amounts
- Upload payment receipts
- Open and track maintenance requests
- Direct communication with owner/marketer
- Option to unlink if the contract ends

Common Issues
- Can't find Property Management section: Make sure you activated the service from "Available Services" in your profile.
- Tenant didn't receive the invitation: Verify the correct phone number and that WhatsApp is active on it.
- I want to add more than one property: Yes, you can add unlimited properties.
